Lead provides administrative, operational, and communication
support to the Vice President(s). This position strengthens program
efficiency by coordinating projects, supporting internal
communication, tracking progress on initiatives, and assisting with
program operations. The Specialist serves as a key support role in
ensuring consistency across systems, documentation, and daily
processes for programs reporting to the VP(s). This is a part time
position (20–24 hours per week). Responsibilities: Operations and
Systems Duties (80%): Provide administrative and project support to
Vice President, including calendar coordination, meeting
management, correspondence, document preparation, and maintaining
data integrity by accurately updating and entering data. Draft,
prepare, and coordinate internal and external communications on
behalf of the Vice President, ensuring all messages to staff and
external partners are clear, timely, and accurate. Assist with
cross?departmental projects and initiatives, including conducting
research, performing data analysis and data mining, developing
reports, tracking project progress, and coordinating project
communication to support effective execution. Promote program
consistency and efficiency by coordinating the documentation and
implementation of operational workflows and procedures. Collaborate
with program leaders to support alignment of these processes with
program and agency policies and to keep them clear, accessible, and
effective. Contribute to compliance reporting by preparing,
organizing, and maintaining required operational and program
documentation, ensuring accuracy, data quality, and timely
completion of all internal and external deadlines. Under the
direction of the VP(s), coordinate program and operational
improvements by identifying areas for process enhancement,
evaluating system or workflow gaps. Collaborate with administrative
and program leaders to design, implement, and communicate effective
workflow, process and system solutions. Support the Vice President
with a wide range of operational needs, including data review,
process evaluation support, documentation needs, project
coordination, and program initiatives requiring follow?through and
process oversight. Performs other related duties as assigned to
support program needs Collaboration & Professional Relationships
(20%): Build and maintain professional working relationships with
colleagues, program leaders, frontline staff, and clients in
support of program and operations. Communicate clearly and
consistently with staff and clients to foster understanding of
expectations, next steps, and available resources. Provide
appropriate referrals and connect individuals to resources or
support as needed. Proactively share timely and accurate
information with program leaders and frontline teams to support
effective operations. Ensure dependable follow?through on
commitments, requests, and assigned responsibilities. Collaborate
with teams to identify and address operational challenges. Work
alongside teams to clarify processes, remove barriers, and support
problem?solving. Maintain open communication and support alignment
with program priorities. Knowledge, Skills, and Abilities:

and using multiple systems and databases. Maintains
professionalism, discretion, and confidentiality; honest,
dependable, self?directed, and receptive to feedback. Education and
Experience: Associate’s degree preferred or equivalent experience.
3-5 years of customer service experience required. Previous office
management or office administrative experience preferred.
Experience with web-based databases preferred. Proficiency with
Microsoft Word, Excel, and Office is required. Valid driver's
license and car for business use required. Minimum Auto Insurance
Coverage Levels: Bodily Injury Liability $100,000 for any one
person in any one accident $300,000 for all persons in any one
accident Property Damage Liability $100,000 for any one accident
