DescriptionPosition Title: Administrative Assistant Department: Property And Casualty Position Reports to: Property And Casualty Team Lead Position Supervises: No Direct Reports Position Summary: The Administrative Assistant is an upbeat and professional front office position that creates a positive first impression on behalf of the agency while providing administrative support across all lines of business. Directs the flow of people through the agency and ensures that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner Duties and Responsibilities: + Answer incoming calls through in a friendly and courteous manner; provides assistance and information as required and connects caller with desired party.+ Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.+ Processes incoming mail and distributes or electronically attaches; prepare outgoing mail for pick up by postal and/or courier services.+ Answers questions about agency and provides callers with address, directions and other information.+ Welcomes on-site visitors, determines nature of business, and notifies appropriate personnel of visitor.+ Accept insurance payments and adhere to payment procedures specific to agency bill versus direct bill as well as payment processing by insurance carriers.+ Order, receives and maintain office supplies.+ Maintain office machines with paper and notify management for any equipment service needs.+ Assists service and sales team with a variety of projects as needed.+ Willingness to learn insurance industry basics with the possibility of becoming Property & Casualty licensed.+ Complete other duties as assigned Education, Certification, License and Experience: + High school graduate or equivalent.+ Property and Casualty Agent license or willingness to obtain Skills and Knowledge: + Thorough knowledge and understanding of administrative and clerical procedures with proficiency in Microsoft Office Suite; quick learner to new software including but not limited to Bridge Operator and Applied Epic+ Proven experience in office setting with professional appearance.+ Excellent interpersonal, communication and organizational skills.+ Ability to work with technology and good computer skills+ Ability to effectively collaborate with others+ Pays high attention to detail+ Outstanding written and verbal communication skills. Work Environment: This job operates in a professional office environment. Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements. Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to speak or hear, stand or sit for long periods of time, open filing cabinets, walk, stoop or bend, use hands to handle or feel and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds, occasionally lift and/or move up to 25 pounds and complete tasks requiring manual dexterity.
