Apply Description Provides administrative support and check preparation to Chief Financial Officer and Executive Management personnel. Provides telephone receptionist support to Executive Management and Accounting Department. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned: * Utilize sales training skills to provide outstanding customer service. * Establish electronic accounting manual, hold meetings and keep updated. This includes updating the policy on FMConnect. * Compare and review yields on defined products (i.e. checking, loans, etc.) monthly. * Yearly input information for Annual Report and 10-K Financial Report, quarterly input information for 10-Q and ensure such information is print-ready. * Prepare monthly and quarterly reports. * Assist with annual Franchise Tax spreadsheet. * Complete FR2644 reporting weekly. * Reconcile various general ledger accounts. * Safekeeping balancing of pledged securities. * Pub Funds reporting. * Maintain Reg F spreadsheet quarterly. * Maintain quarterly G/L and DDA certifications acknowledgements from all departments as well as sending random audit requests of the certifications as proof of compliance to procedures. * Complete FHLB 1-4 Family and HELOC certificates quarterly. * Assist CFO with PowerPoint presentations for various regular meetings. * Answer telephones for CFO and CRBO. Assist with answering phone for other employees in the immediate area as the system will allow. * Prepare and process daily transactions involved with bank's investments. * Balance Correspondent Bank accounts. * Balance and report additions or deletions for force placed insurance to external vendor. * Complete FDICIA Section 36 filing annually. * Complete FR Y-6 filing annually. * Assist with the management of the Bancorp checking account, including preparing checks for Bancorp Chief Financial Officer's signature. * Organize and maintain Accounting Department files and supplies. * Handle all correspondence for Chief Financial Officer and other Executive Management, as needed. * Complete backup duties, as established by department calendar. * Maintain and update procedures for assigned tasks as necessary. * Assist with entering of accounts payable invoices. * Comply and satisfactorily pass tests for bank policy and regulations that apply to position. Job Knowledge Individual possesses and demonstrates the technical ability to perform required duties, is practical in applying knowledge to assignments, and maintains expertise by keeping current with new developments and procedures. Problem Solving The ability to define and offer solutions to resolve problems. Uses knowledge of the organization to identify helpful resources. Attention to Detail The level at which tasks are performed carefully, accurately, and in accordance with specific instructions. Consistency of work quality and compliance with standards, requirements, and expectations. The tracking of numerical data and detailed organizational information, and the careful application of grammar, spelling, and punctuation rules. Ethics The level of trustworthiness, character, professionalism, confidentiality, and honesty in dealing with internal or external customers. Requirements EDUCATION and/or EXPERIENCE Associates Degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience. Must have extensive knowledge of Microsoft Office and PowerPoint software. LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one on one and small group situations to customers, clients and other employees. MATHEMATICAL SKILLS Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance. REASONING ABILITY Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. OTHER KNOWLEDGE AND/OR SKILLS Proficient computer skills with knowledge of Word, Excel, and Power Point applications as well as research skills using Internet search tools. Organized, detail-oriented, and diligent work ethic. Good analytical skills. Able to handle multiple ongoing tasks. Able to work independently.
